General Purpose

Responsible for the administration of a student financial aid program (federal, state, and institutional funds) that adheres to federal and state regulations and facilitates the mission of Davis Technical College. Responsible for determining student eligibility and calculating awards. Advises students and resolves financial aid issues and disputes. Manages student financial aid records and reports and ensures accuracy and compliance with federal guidelines.
Job Focus
- Facilitates process of financial aid awards including orientating recipients of their rights and responsibilities, complies with federal disclosure requirements, coordinating resources with other agencies and awarding College Campus based funds to eligible students.
- Assists in preparation of applications to state and federal sources of student financial aid for participation or program and/or site approval.
- Determines student eligibility, processes financial aid, and awards, determines amounts owed for institutional charges, determines appropriate action for students who fail to meet standards, reconciles monthly account balances.
- Coordinates and awards financial aid programs to eligible recipients, informs students of missing information, and informs students if they are not eligible for financial aid programs.
- Maintains records in accordance to document retention policy and documentation of financial aid records storage.
- Assists in maintaining a up-to-date financial aid policies and procedures based on current federal and state guidelines.
- Assists in updates to financial aid website content.
- Present financial aid information to faculty, staff, and other organizations as needed.
- Assists in the hiring process for work Federal Work Study (FWS) students by determining eligibility.
- Advises and assists students seeking financial assistance regarding the FAFSA (Free Application for Federal Student Aid) and scholarship application process, eligibility requirements, and student obligations and responsibilities.
- Processes, verifies, and maintains student financial aid eligibility by reviewing FAFSA, Institutional Student Information Record (ISIR) forms, tax documents, proof of high school completion documentation, drivers licenses, social security cards, birth certificates, passports, signed statements and/or other requested documents needed using appropriate software in accordance with federal regulatory requirements.
- Collects and processes documentation required for verification of a student’s FAFSA in accordance with federal regulations.
- Interact with students in person, over the phone and through email to provide assistance and answer questions.
- Maintains and assures accuracy, security and confidentiality of student financial aid records.
- Determines student eligibility, determines appropriate action for students who fail to meet standards.
- Addresses student complaints and disputes related to eligibility and disbursements, identifies eligibility options, and assists students with concerns regarding eligibility.
- Assists in preparation of Pell and scholarship funding by calculating award amounts and adding funds to student accounts in Northstar.
- Collaborates with Student Services department to assure ease of enrollment, by verifying eligibility and answering questions.
- Participate in FAFSA nights and/or other functions to promote financial aid.
- Monitors financial aid software for ongoing action items on a daily basis.
- Attends training workshops and conferences as appropriate in order to learn and stay current on financial aid regulations and processing.
- Performs other duties as required.
Minimum Qualifications
- Two (2) years experience in Financial Aid.
- Three (3) to Five (5) years of customer service experience.
- CRM experience preferred.
- An equivalent combination of education and experience will be considered.
- High School Diploma required.
- Associate degree required or an equivalent combination of education and experience will be considered.
- Expected to obtain and demonstrate a strong working knowledge of federal student financial aid programs and an understanding of the software required by the United States Department of Education for processing federal student aid programs.
- A working knowledge of the Microsoft Office suite is required.
- Must possess outstanding customer service skills and be able to work with the public, communicate verbally and in writing, maintain confidentiality, manage accurate student records, and possess the ability to present a professional image in all in-person and email or text contacts.
PREFERRED QUALIFICATIONS:
- Bachelor’s degree preferred.
- Must periodically travel and attend training opportunities in order to acquire knowledge of federal and state regulations and must stay abreast of all changes affecting the student financial aid program.
