POSITION SUMMARY
Reporting to the Senior Manager, Talent and Development, the Administrative Assistant, Talent and Development performs a variety of administrative activities to support the Human Resources’ Talent Team at Simons Foundation. The Administrative Assistant provides support through scheduling meetings and interviews, communicating with candidates, organizing documents and data, and anticipating team needs. The Administrative Assistant is also responsible for administering onboarding processes and training sessions. This role offers an opportunity to learn about, and become involved in, a variety of human resources, talent and development processes and initiatives.

.ESSENTIAL FUNCTIONS/RESPONSIBILITIES
- Maintain recruitment processes for the talent team, including scheduling and communicating with internal teams as well as external candidates.
- Organize hire and onboarding details for all new employees.
- Monitor the talent team general email inbox.
- Administer learning and development logistics, such as scheduling sessions, reserving conference rooms and sending out calendar invitations.
- Facilitate new hire orientation for interns and temporary employees.
- Schedule team and department meetings, prepare agendas and take meeting notes when needed. Schedule and organize team building activities.
- Manage team documentation and presentation materials, including job descriptions and process guidelines, and organize shared drives.
- Run reports on talent and other HR data, organize data, and provide first level analysis. Prepare quarterly talent metrics.
- Assist with other talent and learning and development related special projects and reports on an ongoing or ad-hoc basis.
- Perform a variety of duties and other tasks as necessary to support the HR department and carry out day-to-day responsibilities.
MINIMUM QUALIFICATIONS
Education
- Bachelor’s degree is preferred.
Experience
- At least 1-2 years of previous experience in administrative roles.

- Superior written and verbal communications skills
- Demonstrated ability to take initiative and anticipate needs
- Interested in different aspects of human resources and talent management, with a desire to learn HR laws and guiding principles.
- Ability to learn new systems, such as Workday and Monday.com.
- Proficient in basic Excel or Google sheets, including basic formulas for data tracking.

COMPENSATION AND BENEFITS
- The full-time annual compensation range for this position is $55,000 – $63,000, depending on experience.
