General Job Description

*The Coordinator-Scheduling coordinates, maintains and oversees the patient services and provider scheduling activities for an assigned department/program, with a focus of maximizing program and provider productivity. Job duties include integrating schedules and services with other FHCSD programs, while supporting standardization of scheduling across the organization. In addition, the Coordinator-Scheduling will assist in the hiring, training, staff scheduling, and performance evaluation of front office personnel; as needed, the Coordinator may provide coverage for front or back office staff.

*Under the supervision and guidance of the Director, provides oversight of all patient service activities for the Pediatric Development Services Department (clinic and HDS program), including but not limited to scheduling, appointments, authorizations.

Job Roles

*Assists with operational and program day-to-day oversight and coordination of front office activities. May provide coverage for front or back office staff. Facilitates meetings with staff.

*Assists with recruiting, training, developing, engaging, and retaining an accountable workforce. Provides input to manager while proactively developing supervisory skills.

*Builds positive relationships, inspires others to perform at a higher level, prepares career development plans and retains an accountable workforce.

*Coaches and counsels staff and administers appropriate disciplinary action in a timely manner.

*Coordinates schedules and services between programs across the organization. Assists with integration of services to maximize resources. Assists in the standardization of processes and protocols across the organization.

*Oversees the data entry related to program. Ensures the completion of all required documentation accurately, in a timely manner, and thoroughly in accordance with department standards; in addition, documentation complies with patients' insurance requirements.

*Oversees the patient scheduling functions, ensuring that scheduling practices are efficient and standardized. Ensures front office staff meet scheduling goals, including: schedules maximize provider productivity and program usage, with 100% scheduling for open slots, proactively managing wait lists and cancellations, patient eligibility verification, and patient communications to address problems/issues. Assists with preventing service duplication or unbillable service scheduling.

*Participates in continuous improvement activities and ensures appropriate Lean tools (i.e., 5S, A3) are deployed and results are evaluated and/or measured.

*Prepares and coordinates staff and providers' profiles and schedules, according to department protocols, patient needs, and staff/provider input. Monitors and manages changes; assists in oversight of staff productivity.

*Provides/ensures staff receive all new hire and annual trainings on time.

Education/Certifications/Licenses/Registrations

*Bachelor's degree in Healthcare Administration, Business Administration, or closely related field STRONGLY preferred.

*Minimum of 5 years of experience required; or BA/BS degree in business or health related field.

*High school diploma or GED equivalent required.

Experience/Specialized skills (including Language)

*3 years of experience in medical office management and/or scheduling and service coordination for healthcare services.

*Ability to maintain good interpersonal interactions with clients and co-workers as a member of a multi-disciplinary community health team with a diverse multi-cultural population.

*At least three years of progressively responsible positions in the health care field.

*Bilingual in English and Spanish required.

*Knowledge of supervisory practices and techniques, including performance management and employee development.

*Or equivalent combination of education and experience that provides the skills, knowledge and ability to perform the essential job duties, and which meets any required state or federal certification requirements.

*Significant experience in health care industry or out-patient medical clinics is required.

*Supervisory experience and computer literacy highly desirable.

*Supervisory experience preferred.

18.00 - 24.00

If you are hired at Family Health Centers of San Diego, your final base salary compensation will be determined based on factors such as geographic location, jurisdictional requirements, skills, education, and/or experience. In addition to these factors - we believe in the importance of pay equity and consider internal equity of our current team members as a part of any final offer. Please keep in mind that the range mentioned above is what we reasonably expect to pay for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.
