Job Description

Job Title: Shipping and Receiving Specialist
Location: San Diego, CA
Duration: 5+ Months

Work Schedule:

  • 100% Onsite
  • Monday to Friday, 8 hours daily (6:00am-2:30pm PST or 6:30am-3:00pm PST)
  • Overtime as needed

Job Description: The Shipping and Receiving Specialist will work on semi-routine assignments requiring the ability to recognize deviations from standard practice. The role involves managing shipping and receiving activities, including performing goods receipts against purchase orders or invoices, maintaining records of received goods, and preparing, verifying, and packaging goods for shipment. The specialist will also create shipping documents for outgoing carriers such as FedEx, UPS, and DHL, restock supplies, and deliver goods to various office locations.

Daily Responsibilities:

  • Perform goods receipts against purchase orders or invoices.
  • Maintain accurate records of received goods.
  • Prepare, verify, and package goods for shipment.
  • Create shipping documents for carriers (FedEx, UPS, DHL, etc.).
  • Restock supplies and deliver goods to offices.
  • Handle semi-routine tasks with attention to detail and recognition of deviations from accepted practices.
  • Communicate effectively via email, responding to 50-100 emails daily.

Receiving

  • Process all inbound freight, packages, IDF's, etc.
  • Ensure final destination is within W/WT office/lab location
  • Open, verify qty matches Packing List
  • Receive into Oracle, QESR as applicable
  • Create Bear Tracks label and receiving notification
  • Send email notification to end user
  • Separate/route to internal stock, materials team, etc.
  • File inbound shipment documents (electronically and short-term paper)


Shipping

  • Confirm qty and MCN match shipping request (QSR, SO, etc.)
  • Reject and notify if not
  • Pack each item and collectively pack into appropriate (box, crate, etc.)
  • Process shiprate to logistics for Int'l shipments for CI /PL creation
  • Book transportation as required, using Precision and/or online services (UPS, FedEx, DHL, Trump)
  • Affix appropriate labels
  • Coordinate UPS SCS / DVS / Trump pickups
  • File Shipping documents (electronically and short term paper)


Scraping / Recycle

  • Working with Scraping/Recycle lead
  • Assemble/provide s and bins and IDF to lab locations
  • Coordinate requests for scrap deliveries, both to S/R location and staging at Bldg BC
  • Assist in preparing shipments to scrap Vendor
  • Coordinate / schedule archive returns to S/R for disposition
  • Receive and dump scrap metal into local dumpster

Other

  • Research shipment receipt requests (when/ location )
  • Confirm when inbounds are scheduled to arrive
  • Offload trucks are required (FF, DHL, FedEx, UPS SP, Trump, etc.)
  • Replenish packing materials as needed
  • Other tasks are required

Required Skills:

  1. Proficient in MS Office, Excel, and Outlook.
  2. Ability to solve routine and detailed issues.
  3. Excellent oral and written communication skills.
  4. Ability to retain information for routine work and detailed instructions.
  5. Ability to work in a fast-paced environment, focusing and multi-tasking as demands shift.

Technologies & Experience:

  • Ability to read, understand, and reply to a high volume of emails daily.
  • Minimum of 1 year of experience in a shipping/receiving environment.
  • Forklift experience is a plus, with willingness to train and certify on in-house forklifts.

Education:

  • High School Diploma required.

Experience:

  • At least 3 years of experience in shipping/receiving roles.

Physical Requirements:

  • Ability to lift up to 50 lbs.
  • Standing for long periods, bending, kneeling, pushing, and pulling.
  • Unassisted lifting according to Cal-Osha guidelines.

Driving Requirements:

  • Ability to drive between warehouse locations (approximately 15 minutes weekly).
  • Use of a rental car, Client's vehicle, or personal vehicle as required.
