Medical Office Coordinator, Special Projects for Resident Primary Care Clinics
Job Description
We are seeking a Medical Office Coordinator, Special Projects for Resident Primary Care Clinics to optimize clinic schedules for East Baltimore Medical Center and JHOC-based resident primary care clinics. Efforts are geared towards optimizing patient-provider continuity by pre-populating clinic schedules and facilitating patient appointment shifts. Assist leadership with other quality improvement and clinic operations efforts. Help to resolve patient problems and refer patients to appropriate resources as needed. Serve as resource in team environment. Adapt to changes in technology and software to ensure efficient office practice.
Specific Duties & Responsibilities
- Coordinate multi-faceted, high volume internal medicine resident clinics.
- Monitor patient continuity reports, tracks performance, and collaborates with local leadership to make and act on improvement plans
- Collaborate with local management to identify patients with chronic condition management follow up needs and proactively schedules patients accordingly
- Review clinic schedules weekly to survey for scheduling opportunities; acts on these opportunities based off of protocol.
- Routinely review patient panels with local leadership to ensure proper primary care and chronic condition follow up needs are met
- Responsible for follow up order work queue management; collaborate with clinic leadership and schedulers to address follow up scheduling needs from this work queue
- Assist patients, patients' families, referring physicians, and third-party carriers to resolve patient related issues.
- Use automated records systems to access, enter, and edit patient information.
- Utilize knowledge of physician(s)' practice and requirements of third-party payors to provide appropriate documentation to assure authorization/certification for medical services.
- Demonstrate awareness of limitations of institutional resources and seek to maximize physician scheduling within this context.
- Proactively seek to schedule/reschedule patients to efficiently utilize resources (e.g., backfill to cover cancellations or add urgent appointments).
- Maintain familiarity with various types of medical insurance to explain these plans.
- Collaborate with office and clinic staff to coordinate appointments and resolve urgent issues.
- Operate personal computer to access e-mail, electronic calendars, and other basic office support software.
- Successfully completes all training courses required for access to Epic and other software systems.
- Complete all required HIPAA courses and other specified online training courses.
- Responsible for other administrative office duties as assigned.

Minimum Qualifications
- High School Diploma or graduation equivalent.
- Two years administrative experience.
- Additional education may substitute for one year of experience to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Knowledge of medical terminology.
- Knowledge of insurance coverage.
