Job Summary

The primary function of this role is to provide reception and administrative duties in support of the day-to-day operations for HR and the Company. The incumbent will act as the Receptionist, greeting visitors, answering phone lines, and directing calls as appropriate. This individual will be expected to provide outstanding internal and external customer service as the face of pSemi.

Roles & Responsibilities

This position has responsibility for:

  • Managing main front desk duties:
    • Answering main phone lines
    • Responding to questions from internal or external sources timely and escalating as appropriate
    • Greeting visitors while following the company badge and screening process
    • Managing the company electronic sign-in system and process (e.g., Sign-In Enterprise)
    • Handling mail and packages
    • Managing the mail meter, printing Fed Ex labels
    • Managing voice mails to the HR main phone line
  • Creating monthly new hire & service award newsletters
  • Managing the following processes within Oracle or similar software:
    • Working with Purchasing to set up new vendors
    • Creating Purchase Orders (POs), Adding funds to POs
    • Providing GL codes for travel invoices
  • Updating SharePoint or similar internal company platform
  • Updating the company organizational chart, phones lists, contacts as needed
  • Managing the company document control software (e.g., Agile) for HR documents
  • [MV1]Coordinating travel requests and approval process, working with employees and travel agents, and securing approval of appropriate management / executive team member
  • [MV2]Monitoring supply inventory and ordering supplies for the whole company
  • Managing conference rooms:
    • Assisting with room scheduling, resolving conflicting schedules
    • Monitoring conference rooms for relevant supplies and cleanliness
  • Reconciling credit card for catering, supply orders, etc.
  • Ordering business cards, name plates, employee gifts, flowers, etc.
  • Providing support to HR systems and processes as needed (e.g., data entry, password resets, etc.)
  • Assisting with employment verifications
  • Assisting with the upload and tracking of pSemi contracts to Agiloft or similar software
  • Assisting with organizing, distributing, and mailing of paychecks, earning statements, etc.
  • Assisting departments with events, planning and catering of offsite meetings, celebrations, and lunches
  • Other duties as assigned

Minimum Qualifications (Experience and Skills)

  • 2+ years of experience in an administrative role
  • Demonstrated experience managing frequently changing priorities from various internal and external stakeholders
  • Excellent customer service
  • Excellent communication skills, both written and verbal
  • Must be highly organized and able to prioritize multiple shifting priorities
  • Detail oriented
  • Intermediate MS office (Outlook, Word, PowerPoint, Excel)

Preferred Qualifications

  • Willingness to work overtime as needed
  • Ability to work in a team environment

Education Requirements

  • High School Education or GED

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. This position requires the ability to occasionally lift office products and supplies, up to 50 pounds.

USD: 23.24 - 28.48 per hour
