Position Summary
Reporting to the Assistant Dean for Student Involvement to provide clerical support in all areas of OSI and office management of projects as assigned by the supervisor.
Essential Functions
- Assists the Assistant Dean and the administrative team within OSI in managing a high-traffic office overseeing Student Events and Programming, Commuter Student Services, the McShane Center, and New Student Orientation.
- Provides clerical, telephone, scheduling, and computer support for the Assistant Dean and other OSI areas as determined by the supervisor, including front office reception and coverage in other reception areas as needed.
- Maintains the front reception area for the Office for Student Involvement, answering calls, directing inquiries, greeting students and guests, and managing traffic flow.
- Manages the office’s general email account and provides administrative support for all corporate accounts within OSI.
- Drafts and prepares documents, develops spreadsheets and reports, distributes meeting agendas and minutes, and supports special projects as determined by the Assistant Dean.
- Assists with updating departmental websites and preparing team meeting agendas.
- Reviews and approves flyers for posting around campus.
- Assists with managing locker rentals and distribution in the McShane Center.
- Oversees inventory and ordering office supplies, stationery, balloons, and helium tanks.
- Supports the Student Clubs administrative team to ensure clubs have access to copying in OSI and assists with the review and approval of club fliers.
- Maintains updated office forms, notices, and contact information on Rams involved.
- Assists with the sales of discount movie tickets and Metro Cards, tracks staff vacation schedules, handles vending machine reimbursements, and oversees key distribution for OSI spaces.

Management Responsibilities
Guides work of other employees who perform essentially the same work and/or student workers. Organizes, sets priorities, schedules and reviews work, but is generally not responsible for final decisions in hiring, performance management or compensation.
Required Qualifications: Education and Experience
- High school degree or equivalent.
- Minimum of two years of clerical experience.
Required Qualifications: Knowledge and Skills
- Demonstrated experience working in a student-centered environment and proficiency in building and maintaining excellent relationships with departments, faculty, and student groups across campus.
- Proficiency in Adobe Acrobat, MS Word, Excel, Access, PowerPoint and Gmail.
- Highly organized, resourceful, and adaptable, with excellent communication and interpersonal skills. Detail-oriented and able to effectively manage multiple tasks.
- Demonstrated professional maturity.
- Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.
Preferred Qualifications
- College degree preferred.
- Oversight experience of student workers or equivalent preferred.
- Experience in higher education, conference services, or hospitality services is preferred.
